Valley View Nursing Center Streamlines HR Data The Challenge Before we implemented Microsoft Dynamics GP we faced the everyday challenge of employee data residing in different software modules and access to this data was cumbersome and time consuming, The HR department had all of their data in one database and payroll had its own database. In order for each department to share data they had to switch between programs in order to access the data they needed. As our employee count grew the everyday efficiency and the process was not only time consuming, but labor intense as well, we wanted to be able to have the right people access the right data at a click of the mouse whether it was payroll or HR in order to be able to process the information needed. Before implementing Dynamics GP we always had discrepancies in our reports. We wanted a solution that we would not outgrow and a business partner to help us utilize advanced technology to streamline our business operations, making the payroll and HR departments more productive, more accurate and more efficient. Being in the long term care industry we have reporting requirements that need to be met from the state for nursing certifications and managing that data in access was not a fit as our employee count continued to grow, we needed to have all this data in one central location in order for any user to have quick access to the information they needed. Valley View employees are taking advantage of the ability to configure the software themselves, such as building smart list reports to track specific data or to create custom reports unique to each department. The software empowers employees to make decisions based on the data they get from the criteria they input when making custom reports. To streamline the recording requirements for overtime we set up and configured the Payroll module to automatically calculate additional pay based on the number of overtime hours worked in each department that had different pay rates. Before, with our old system the payroll department would calculate blended overtime using an excel spreadsheet and errors could occur when inputting data. With Microsoft Dynamics GP fewer printed reports are needed, so overall physical record storage requirements are less. As reports are easily stored in the system and are available at a click of a mouse instead of printing and storing these reports on or off site, therefore reducing the cost of paper and labor. Our staff uses the functions in Microsoft Dynamics GP to get things done faster and with more accuracy than ever before. There are many applications that have direct integration into Microsoft Dynamics GP. One such application is Green shades Paperless payroll. This unique product allows us to have all our direct deposit vouchers uploaded to a web site where all employees are able to log in with a user id and password and access their paystubs. This in turn saves money, time and labor and lets the payroll department focus on more important tasks.
